Your lead qualification quiz collects exactly the data your sales reps need — budget, team size, timeline, use case. But if the results stay trapped in your quiz tool while your team works in Pipedrive, that data never reaches the deal record. The rep calls the prospect, asks the same questions the quiz already answered, and wastes the first five minutes of a conversation that should have started with "I see you're looking for a solution for your 20-person team with a Q2 deadline."
The fix: connect your involve.me quiz directly to Pipedrive so every submission creates a deal, maps answers to custom fields, and routes the deal into the right pipeline stage using Pipedrive automations. When the rep opens Pipedrive, the deal card already tells the full story.
Here's how to send quiz results to Pipedrive custom fields in deals.
What the Pipedrive Integration Does
When a prospect completes your involve.me quiz, the integration automatically:
Creates or updates a Pipedrive person with the prospect's email, name, company, and phone
Creates a deal associated with that person, pre-populated with deal title, value, and pipeline stage
Maps quiz answers to custom person fields (and deal fields via the deal creation settings)
Maps calculated scores to custom fields (qualification score, recommended plan/tier)
Zero manual data entry between quiz completion and the rep's first touchpoint.
Prerequisites
In Pipedrive:
A Pipedrive account (Professional or higher recommended for workflow automations and custom reporting)
Custom fields created on the Person objects for each quiz data point
A pipeline configured with stages that match your sales process
In involve.me:
A completed quiz funnel with scoring configured
An involve.me plan that supports Pipedrive integration (Pro and Business)
Your Pipedrive account connected via involve.me's native integration
Step 1: Create Pipedrive Custom Fields
Before mapping, set up the Pipedrive custom fields that will receive quiz data.
Person Custom Fields
Navigate to Settings → Data fields → Person → Add custom field:
Open the account menu in the upper right corner of Pipedrive, go to Personal preferences → Data fields, choose the entity (Person or Deal), then click "+ Custom field".
Note on Pipedrive plans: The ability to add, edit, and delete custom fields requires the correct global permissions enabled on your account. The number of custom fields available depends on your Pipedrive plan — basic field creation (name + type) is available from the Lite plan, while advanced field properties like required fields, formula fields, and pipeline-specific fields require Growth or Premium plans.
Important: The involve.me Pipedrive integration maps data to Person fields. The following Pipedrive field types are not supported: people, timerange, range, org, and multiple-option. For single-option field types, make sure the correct options are created in Pipedrive before mapping.
Field Name | Field Type | Options |
|---|---|---|
Quiz Qualification Score | Numerical | — |
Quiz Completed Date | Date | — |
Quiz Source URL | Text | — |
Job Title | Text | — |
Deal Custom Fields
Navigate to Settings → Data fields → Deal → Add custom field:
Field Name | Field Type | Options |
|---|---|---|
Qualification Score | Numerical | — |
Recommended Plan | Single option | Starter, Pro, Business, Enterprise |
Primary Use Case | Single option | (your use cases) |
Team Size | Single option | 1-10, 11-50, 51-200, 201-500, 500+ |
Budget Range | Single option | (your budget tiers) |
Current Tools | Text | (competitor/tool list) |
Buying Timeline | Single option | Immediate, This quarter, Next quarter, Evaluating |
Integration Needs | Text | (integration list) |
Qualification Method | Text | — |
Step 2: Configure the involve.me Integration
Connect Pipedrive
In your involve.me dashboard, go to Integrations → Pipedrive
Click Connect and authorize involve.me to access your Pipedrive account
Set Up Field Mapping on Your Quiz
Once the integration has been connected to your funnel, click "Manage Custom Fields" on the funnel's Pipedrive integration settings to access the mapping screen.
To map fields, pick your involve.me field first, then pick the Pipedrive field that should receive that data.
Map Quiz Fields to Person and Deal Properties
Contact identity mappings:
Email field → Person email (primary identifier — enable OTP verification on this field to ensure every captured email is real and reachable before it reaches Pipedrive)
First name / Last name → Person name
Company → Person organization (Pipedrive creates or links the Organization automatically)
Phone → Person phone
Quiz answer mappings to Person fields:
"What's your primary use case?" → Primary Use Case
"How large is your team?" → Team Size
"What's your budget range?" → Budget Range
"What tools do you currently use?" → Current Tools (Text field)
"When do you need a solution?" → Buying Timeline
"Which integrations matter most?" → Integration Needs (Text field)
Calculated value mappings:
Quiz total score → Qualification Score
Outcome/recommended plan → Recommended Plan
Enable Personalized AI Text on each outcome page to generate a unique plan recommendation narrative per prospect — explaining why this specific tier fits their answers, team size, and goals rather than showing the same generic outcome copy to everyone.
Configure Deal Creation
To enable deal creation, go to your funnel's Pipedrive integration settings and click "Manage Custom Fields". Then tick the checkbox "Create deal for each person". This will create a new deal every time a new submission is generated.
You will have the following options:
Pipeline — select which Pipedrive pipeline the deals will be created in
Deal title — the title you enter here is prefixed with the participant's name (e.g. if you enter "Quiz Lead", the deal will appear as "Jane Smith Quiz Lead")
Deal value — enter a fixed value, or leave this field empty to use a calculator result instead
Deal currency — choose the currency for your deals
Note on score-based stage routing: The involve.me integration does not natively assign deals to different pipeline stages based on quiz score. All deals are created in the pipeline you select. Use Pipedrive automations (Step 3) to move deals between stages based on the Qualification Score field value after the deal is created.
Pass Attribution Data with Hidden Fields
Use hidden fields in the quiz embed URL to pass UTM parameters, referral source, and campaign context into the submission data, so every Pipedrive person and deal record includes the marketing channel that drove the quiz completion alongside the qualification answers:
Map these hidden fields to Pipedrive custom fields on the Person or Deal for full attribution visibility in your pipeline reports.
Step 3: Build Pipedrive Automations
Pipedrive automations are configured inside Pipedrive itself. Once involve.me sends the quiz data and creates the deal, you can use Pipedrive's automation features to route and act on that data.
Automation 1: Route Deals by Qualification Score
Trigger: Deal created, Qualification Score field is populated
Condition: Score 70+
Move deal to "Qualified" stage
Assign to a senior AE
Set deal label to "Hot"
Create an activity: "Call high-score quiz lead within 4 hours"
Condition: Score 40–69
Move deal to "Discovery" stage
Assign to SDR team
Create an activity: "Review and qualify quiz lead — schedule demo"
Set deal label to "Warm"
Condition: Score under 40
Keep deal in "Lead In" stage (or delete/archive)
Create an activity: "Enroll in email nurture sequence"
Set deal label to "Nurture"
Automation 2: Stage-Based Follow-Up
Trigger: Deal moves to "Qualified" stage
Create a sequence of activities:
Day 0: "Send personalized intro email referencing quiz answers"
Day 2: "Follow-up call if no response"
Day 5: "Send case study matching their use case"
Day 10: "Final check-in before moving to lost"
Automation 3: Use-Case-Specific Email Templates
Pipedrive's email templates can reference custom field values. Create templates for each use case that pull in the prospect's team size, buying timeline, and qualification score.
Alternatively, use involve.me's built-in automation to trigger conditional email sequences directly from the quiz — high-score submissions receive an AE introduction with a personalized demo link, medium-score submissions get a plan comparison, and low-score submissions enter an educational nurture track — all without requiring Pipedrive automations for the initial follow-up emails.
Step 4: Verify the Data Flow
Testing Checklist
Before going live:
Complete the quiz with a test email address
Check Pipedrive within 2-3 minutes: Person created? Organization linked?
Check the deal record: Pipeline, stage, value, and all custom fields populated?
Verify deal-person association: The person is linked to the new deal?
Check automation triggers: Was the deal assigned to the correct rep? Activity created?
Test edge cases: Minimum answers, boundary scores (39, 40, 69, 70), maximum values
Test duplicate handling: Submit with the same email again, per the integration's behavior, the existing Person record is updated if only one contact exists with that email. If there are duplicate contacts with the same email in Pipedrive, a new contact is created instead. A new deal is created on every submission regardless.
Common Issues
"Custom fields not appearing": Verify the Pipedrive field names in the involve.me mapping match exactly. Pipedrive field names are case-sensitive.
"Deal not creating": Check that the "Create deal for each person" checkbox is enabled under "Manage Custom Fields" in the integration settings, and that the selected pipeline exists.
"Duplicate persons": involve.me matches on email. If a person already exists, it updates the record. Ensure "update existing contacts" is enabled in the integration settings.
"Field data not syncing": Double-check that you are not mapping to an unsupported field type. The people, timerange, range, org, and multiple-option field types in Pipedrive are not supported by the integration.
Advanced: Multi-Pipeline Routing
If you run separate pipelines for different segments (SMB, Mid-Market, Enterprise), use Pipedrive automations to move deals between pipelines based on the Team Size field value after the deal is created. The involve.me integration does not support conditional pipeline routing natively — deals are always created in the single pipeline you select in the integration settings.
Example Pipedrive automation logic:
Team Size = "1-10" or "11-50" → move to SMB Pipeline
Team Size = "51-200" → move to Mid-Market Pipeline
Team Size = "201-500" or "500+" → move to Enterprise Pipeline
FAQs
-
involve.me pushes data to Pipedrive in near-real-time via the Pipedrive API. Deal and person records typically appear within 30-90 seconds of quiz submission. Pipedrive automations trigger within their standard processing time (usually under 5 minutes).
-
Yes. If you already have fields like "Lead Source" or "Product Interest" on your deals, map quiz answers to those existing fields. Just ensure the field type matches the data format — don't map a multi-select quiz answer to a single-option field.
-
The Pipedrive integration is available on Pro and Business plans only. Free and Starter plans do not include access to the Pipedrive integration. You can test the integration before committing by registering for a free 14-day trial.
-
involve.me identifies contacts by email. If the same email submits again, the existing Pipedrive Person record is updated with the new data — as long as there is only one contact with that email in Pipedrive. If there are duplicate contacts with the same email, a new contact is created. A new deal is created on every submission — the integration does not automatically update or deduplicate existing open deals.
-
Yes. Push the quiz score as a custom field value, then use Pipedrive's deal scoring features (available on Professional plans and above) to combine the quiz qualification score with engagement signals like email opens and meeting completions for a composite scoring model.
-
If the person already exists as a Contact in Pipedrive, the integration updates their record with the new quiz data and creates a new deal (or updates an existing open deal, depending on your settings). This is useful for re-engaging cold leads with a fresh qualification quiz.
